If you have incurred costs that you believe the City may be responsible for, you must follow the process outlined below for the City to consider your claim. In some situations, you are required to place the City on notice within 10 days of the incident.


For property damage claims, it is suggested that you contact your own insurance company or broker first. Depending on the type of property damaged, and the insurance policy you purchased, you may be eligible for greater compensation than you can legally recover from the City or any other party. If your insurer believes that the City is responsible for the damage, the insurer will seek compensation on your behalf as stipulated in your insurance policy.

Our employees are instructed to provide this form to you but are not authorized to accept responsibility on behalf of the city for claims made.


The Municipal Act requires that you notify the City in writing. To ensure that your claim meets the notice requirement, please forward your claim to the Manager of Purchasing & Risk Services within a ten (10) day period from time of incident.

Option 1 – Complete your Notice of Claim by completing the online form - Damage Claim Form

Option 2 – When preparing your Notice of Claim in any manner outside the use of the online tool, deliver the notice to the attention of the Manager of Purchasing & Risk Services at the Municipal office located at 7 Creswell Drive, Trenton or by emailing to . Please ensure that you include the following:

  • Claimant’s full name, mailing address, email address and telephone number
  • Contact name, mailing address, email and telephone number of the person submitting the claim (if different from above)
  • Date, approximate time of the incident, and exact location (address or closest intersection or 911 number)
  • Brief description of what happened
  • Type of damage or injury
  • Photo’s if available
  • Estimate or invoice for repair of property
  • Signature

*Please note that this request for information does not constitute an acceptance of your claim but permits the Corporation of the City of Quinte West or its Insurance Representative to properly record and investigate your claim.


Your claim will be acknowledged upon receipt and if warranted, an investigation will commence. You may be contacted by staff or the city’s insurance adjuster for clarification or further information if necessary.

All claims are subject to the same investigative process and the timeline to carry out the investigation varies.


Like most Canadian municipalities, the City of Quinte West only compensates for property damage or bodily injury when found legally liable for the damage sustained. In order to be found legally liable, the claimant must be able to provide sufficient evidence to support the allegation of negligence on the part of the city.
